The Challenge

As an Implementation Lead at Botkeeper you guide a new partner accounting firm from the late stages of purchase through to their bookkeeping migration to Botkeeper. Ideal candidates will have a strong working knowledge of accounting principles and Quickbooks Online and a proven track record of successfully managing multiple client relationships. It is the Deployment Lead’s responsibility to understand the scope of services the partner has selected from Botkeeper for each group of client entities, interpret all the information gathered during the sales process, and capture all the remaining information required for each client entity to make their deployment successful. This includes assisting and training partners as they provide credentials to Botkeeper to enable our services. Complete knowledge and mastery of botkeeper software and services and the lifecycle of a client from presales to successful ongoing services is necessary.  This position requires independently scheduling and conducting multiple presentations and calls to help with credential setup, facilitate an initial orientation of the deployment process in a product presentation, set appropriate client expectations around scope of services, request documentation, troubleshoot technical issues, identify and log acceptable firm or client specific nuances and conduct a smooth transition to the ongoing accounting services team. It is incredibly important to Botkeeper that continuity and health measurement are successful in the first few weeks, ensuring overlap with both Botkeeper expectations and services rendered. It will be important for this individual to be highly organized while managing a matrix of clients, primarily consisting of partner CPA firms.

Job Responsibilities:

  • Client Botkeeper Onboarding & Assessment of Services
    • Confirm Botkeeper scope of services and additional accounting services offerings with partner firm for each client or group of client entities.
    • Assess QBO or Xero clients’ books and determine date books current through, 3rd party app connections and other items necessary to service the entity.
    • Verify all financial, payroll, sales and any other system tied to the GL accounting software with Botkeeper services is adequately configured and shared as necessary for our services to begin.
    • Create Botkeeper Playbook outlining  clients’ scope of services and acceptable firm or client specific nuances for the ongoing accounting services team to be aware of).
  • Client Deployment Presentation and Orientation: 
    • Deliver and present multiple deployment presentation calls that provide:
      • Orientation of credentialing and demo of Botkeeper software and services
      • Describe the deployment process, including setting client expectations and suggested timelines
      • Set agenda and reinforce the scope of services being performed
      • Set cadence for calls and calendar of events with partner
  • Initial Client Training and Orientation of Botkeeper Portal
    • Demo and train client partners on Partner Portal
  • Partner + Botkeeper Follow-up and Project Management
    • Confirm that all clients have the correct credentials on the Botkeeper platform and follow up on those outstanding for services to commence
    • Confirm all client integrations and financial institution access during the initial phases of deployment
    • Act as a liaison between accounting services and partner firm 
    • Oversee project management for each client entity until formally accepted into ongoing services
    • Maintain up to date information on each deployment project within workflow and time tracking tools
  • Client Health Checks: 
    • Monitor and maintain a list of accounts and track the status of each phase of the deployment workflow process
    • Maintain existing status reports weekly on the calendar of new deployments, on-boarded clients, and large clients
  • Large Partner Support
    • Potentially conduct routine on-site visits to Botkeeper’s largest clients to continue to support deployment and enhancement of services

  • Successfully Deployed Clients
  • Time to Deploy (based on when accepted into ongoing)
  • Positive Client Survey Feedback 

Requirements for Role:

  • Accounting degree preferred and/or 3-5 years’ experience in a staff accounting role or higher 
  • Must have a strong understanding of Quickbooks Online
  • Must have multi client experience in software implementation, project management, and client success
  • Great project management, time management, and documentation skills
  • Proven delivery of outcomes in client or project-based environments in either a consultative or project management capacity
  • Understanding of implementation principles and metrics 
  • Comfortable demonstrating to and interacting with clients to resolve issues and ensure understanding of the services being provided
  • Organized and meticulous calendar practices with an ability to navigate complex client environments
